LSO Officers' Meeting Minutes, January 7, 2006
Present: Joy Wilcox (President), Michelle Johnson (Vice President/Treasurer), Lynne Collins (Program Coordinator), Olivia Sparks (Co-Distance Student Liaison), John Walsh (Social Coordinator), Marie Martin (Webmaster/Listserv Manager) and Monica Bafetti (BiblioTech Editor)
Meeting began at 12:15pm
Introductions: general consensus to reach out to peers and create a feeling of community. Joy will send out a mailing to new students with LSO information and an email to the listserv to encourage our peers to participate.
Contact Sheet: all officers submitted contact information and availability. Michelle will type and distribute via email.
Change of Officer Form: Joy will complete UA required paperwork for official Change of Officers and to receive UA funding
Schedule for Semester: Tentative schedule for meetings - First Tuesdays and the following Fridays at 6:15pm. Next meeting dates: Tuesday, January 17 th and Friday, January 27 th.
-Joy will send out agenda before meetings (note estimated time allotted)
-Moderator will be assigned per meeting to watch time – flexible.
-Minutes should be posted to website within a few days.
Website: Marie would like to update the look of the website and maintain information on a more regular business. Olivia suggested looking into a Wiki as an additional method to present information to distance students and members of LSO. Marie and Olivia will look into various wikis and will report back. Michelle mentioned that LTC hosts wikis.
Send Student to ALA Conference: ALA has a student program where LSO/SIRLS can send a student representative to the ALA annual meeting in June. Student representative will have responsibilities at the meeting and will be required to give presentation of the experience to LSO/SIRLS upon return.
-Essay contests have been done in the past
-students required to perform 20 hrs of work during conference
-Award does not cover travel.
-Award covers per diem and accomodations.

LSO Meeting Minutes, January 17, 2006
In attendance: Joy, Michelle, Kristin, Ruth, Shana, Jana, Lynn, Lindsay, Rebecca, Coni, Marie, Robert
- Meeting Format: Keep meetings to 1 hour 15 minutes and no longer than an hour and a half. There will also be a moderator for each meeting (randomly asked) to make sure that discussion stays on topic, away from gossip, and to watch the time.
- Michelle and Coni are both voted into their positions by default. Coni is the new Fundraising coordinator and Michelle is the new Vice President/Treasurer. The alumni coordinator was open, but Kristin and Ruth volunteered to do it together. They win by default.
- Meeting Schedules: LSO meetings will be the 1 st Tuesday and the 3 rd Friday beginning in February. There was a discussion about weather or one of the meetings in the month should be officers only, but Joy consulted the constitution and all meetings are to be open to everyone. The happy hours after the Friday meetings will help to bring people in anyway. Joy will make out a master schedule and send it out.
- Class Liaisons: Remember to speak to your classes. There are a few online classes that have no liaisons, but Joy emailed the professors to plug LSO.
- Mailings went out to new students to invite them to LSO.
- The LSO can send a student to the ALA conference in New Orleans in June. The ALA deadline is February 1 st. The GPSC (Graduate Professional Student Council) has a travel stipend available and the deadline for that is February 1 st as well. The LSO will do a drawing at the January 27 th meeting (we will pick three names). The winner will have 24 hours to respond. The LSO is considering paying for travel if GPSC funds are not secured. LSO will decide in March about paying for airfare. [Planning for ALA would be ideal for before Christmas break.]
- Dreamweaver: Mary Feeney is booked for the semester. Instead of Marie (the LSO webmaster) teaching a Dreamweaver class, she says she can be available at a certain time in the computer lab. For other Dreamweaver teachers, Brian Atkinson, Chris Johnson, and Beth Hoffman’s name all came up. Lynn will email Brian and Chris to ask them and Joy will email Beth.
- The computers in the SIRLS lab need to be checked to make sure all updated versions of Dreamweaver are installed.
- Joy is going to re-do the bulletin board in the student lounge at SIRLS this weekend. She will send out a notice of when if anyone wants to join the party.
- Social Event: Something Sweet, January 24 @ 6:30pm for dessert and games. We debated about whether or not LSO would pay for this and it was decided (through a vote) that LSO will pay for it since it is a social LSO event and we have the budget. This led to the next point…
- What is LSO money supposed to be spent on? In the next meeting (January 27 th), we will set a budget. Everyone is to come with a proposed amount of what they might need.
- Treasure Report: LSO balance is a bit over $1,200.
- Michelle proposed LSO get a Paypal account. Paypal charges a fee of 1.9%-2.9% + $0.30 per transaction (no $0.30 charge if the payment is through a Paypal account.) LSO approved getting a Paypal account through a vote.
- Marie is fixing problems/links on the website. We will first post minutes to the officers (through emails until LSOEXEC listserv is set up.)
- On the LSO membership forms, many people approved putting their name on the directory—but the directory doesn’t exist yet. Marie will check the status of it on the website. The directory will contain names and phone numbers and will help us know who is a part of LSO and paid up.
- The group went over a survey whose purpose is to learn about the SIRLS students. It will be sent out and returned through email.

- She completed a spreadsheet of finances where we can categorize the money: $1,792
- Paypal is up on the LSO website.
- 5 applications since the semester began.

Rebecca—
- The first part of faculty meetings are open to any student.
- Living the Future 6 is a program through the UA library to take place April 5-8. $160/early bird student. If we help, will they help our organization?
Reading the minutes in meetings is nixed. We will hit the high points anyway and the minutes are sent out over the listserve.
Lynn—
- Survey: Marie will work on setting it up on email form.
- “taste of ALA” –an overview of sections of ALA is being set up, just the date needs to be fixed. Probably in late Feb. or early March.
- Dreamweaver workshops—Chris Johnson will teach a beginning and advance class. Brian will get back to Lynn on the e-portfolios.
- Phoenix students—Are there tutorials for them since they may not be able to attend classes? What about a presentation through Breeze? We will look into this.
John—
- There will be one big event per semester and then smaller events throughout.
- BBQ in SIRLS courtyard. We will have a semester to build this up. John has experience in catering. It will probably be mid to end of April.
Marie—
- The directory is working. The website has many broken links fixed. She has emailed Kat for access.
- She will sent out the hours for the dreamweaver help. We can use the old chat page through the El Pueblo website to answer dreamweaver questions.
- Dreamweaver in SIRLS will be reset to the original version.
- Can we add $1 donation for paypal? Yes, Marie will add that to the website.
Distant Student—
- Phx event on 2/22.
- They do not have a SIRLS/Phx Directory, but we will get them on our directory.
- She created a wiki http://arizonalso.pbwiki.com. She would like feedback.
- They want to have possibly 2 fundraisers.
- Put LSO in the subject lines in emails.
Monica—
- Bibliotech deadline is Feb. 17. They will have 2 issues.
Coni—
- Mold the fundraising around social activities and programs.
- We are past the deadline for spring fling, but we should do it for next semester.
- Club fairs are in August and January. We missed it and this info is passed through the club President’s listserve.
- Homecoming deadline is July 1 st.
- A booth on the Mall is do-able. You can have a booth any day. To use campus facilities (tables) cost money, but your own card table is free. If you go through wholesalers, no permit is needed. If you sell food, you have to fill out a worksheet. Decide by Feb. 6 th.
- Candy bars is 50% profit.
- People can put papers (Valentines) up on the board and keep a jar of money out for people to put in a buck.
- Percentage nights:
- La Salsa—15% flyers.
- No Anchovies—15% flyers to cashier. They do catering and will do a discount for us.

- Honduran librarian visit/tour of campus- ten (10) visiting librarians upcoming visit to campus and SIRLS. Details forthcoming. LSO to help decorate, set-up, serve, and clean up for luncheon to be held in multipurpose room.
- Christine Dykgraff (undergrad teacher) permission to sell candy outside her classroom-Harvill Hall- on Mon and Wed 3-4 pm; about 400 students. Joy to check into any needed special permission to do this. Joy will provide LSO labels to put on candy bars.
- LSO needs to recharter as an organization. Joy just implemented process this week (takes ~ 5-7 business days).
- Rebecca sold $45.00 worth of candy in one of her classes this past week
- Monday night (2/13 or early am 2/14; by 8:00am--Deliver treats to SIRLS multipurpose room for Valentine’s Day event on the mall.

- Taste of ALA was successful; a total of 21 people (including speakers). How can we make a better turnout?

- We should try to find students who have been to ALA to speak at this event (to see from student’s perspective
- Professional Development events – Job-Related events
- Job searching resources. The links on LSO’s job resources page have been updated. Planning on Friday 3/24 or Tuesday 3/21 from 12-1PM for Job Resources presentation. Voted – decided Friday 3/24 and perhaps later in afternoon (for better turnout, perhaps distance students).
- Resume Tips presentation. Mary Feeney and others will present. This will be Friday 4/14 from 2-4PM.
- Resume Consultation – about 4 librarians of different types (organized by Mary Feeney) will consult students one-on-one for 30 minutes at a time. This will be Friday 4/28 from 2-4PM. Students must register in advance to have this opportunity.
- High school student visit
- Only 25 minute break; some of us will go to speak about Library profession and SIRLS\

- Very happy with Taste of ALA turnout.
- Has received 38 responses from LSO survey sent out to listserv. Half of these responses do not give their name and information, though, and so we cannot contact. Will send another e-mail out. So far, several comments have included that the times students would prefer events are in the evenings.
Webmaster/Listserv Manager, Marie Martin
- Nothing new on the website since the last update.
- Dreamweaver courses – 21 people have signed up for all of the classes. Out of department students in the Agriculture college want to come.
- Marie will e-mail Chris to see if he has an evaluation form to hand out after the classes to improve their effectiveness.
- On 3/8, there will be a vote on the new e-portfolio requirements.
Distance Student Liaison, Olivia Sparks (Linda Cowell absent)
- Wednesday Phoenix event at Starbucks a success – 8 people showed up excluding the officers. Got good feedback from students who attended; requested more social events.
- Received 7 responses from the Phoenix survey so far.
- Arizona Convocation on 3/5 and 3/6; are looking for volunteers at Webjunction and Arizona History Project
- Medical Library Association Annual Meeting in Phoenix May 19-May 24 --four hours of volunteering will give us free registration.
- Results of survey will determine where they will have a fundraiser
Fundraising Coordinator, Coni Weatherford
- Candy sales are a hit! Have raised $400 when we sell the boxes we have now. Plan to keep selling candy.
- Laff’s – suggests we put off this fundraiser until we can guarantee a good turnout; voted and agreed to not do the Laff’s fundraiser this semester
- Proposed new t-shirt for next semester using a tag cloud; black shirts with white letters
- Lame for a Game on 4/6; we agreed to sell tickets ($5 tickets, we get $2 profit each); Coni will get back to us about this
Other business
- Joy suggests we keep track of everything we do; documentation is good for the next LSO officers as well as ourselves
- Possibly Carla Stoffle or Nancy Ledeboer as keynote speakers for the symposium (much cheaper if we hire someone local)

1. The printer in SIRLS has been out of commission. Leslie will send out an email that they are watching it for a month.
2. Treasure Report: approximately $2300 (minus what will be spent on ALA student airfare)
3. Raffle winners for Living the Future 6 are Coni, Gabriel Sykes, and Jaye Caldwell. Rebecca will email them.
4. Rebecca met with Jana on Student feedback. The next meeting is tomorrow March 8 th.
5. Survey
Putting contact info is okay on the results because it’s only between officers. The countable/content answers are in a separate category.
Some results:
- Many people have never been to the website.
- We need to communicate with the students and have more activities.
- Students would like a library here in SIRLS, possibly have old text books.
- Request for mentoring.
- Overall, the want is help and communication.
Possible solutions and issues:
- Have a meeting to meet the officers
- Virtual online chat
- Have a variety of activities, not just happy hours
- Brown Bag lunches.
There is frustration that attendance is low at the activities that LSO has planned.

Symposium Keynote Speakers:
- Panel of 2 people, possibly Carla and Nancy? (UA and TPPL)
- Someone voiced the opinion that we should get away from the locals and bring in someone new for a different perspective.
- Find a theme, then we could know what to look for.
- Officers are to look for someone (brainstorm), find out about them and their price.
- Ask professors to play larger roles (possibly to moderate?)

- BBQ: Saturday, 6 May, from 3pm to 8pm at Professor Higgin’s house. Attendees need to RSVP to LSO by 3 May. Everyone is welcome, including all SIRLS students, faculty, family and friends. Food will be supplied.
- Symposium: Michael Stevens will be the keynote speaker. Event is Saturday, 18 November, probably from 9am to 3pm in the ILC.
- Elections: Some positions will be open for the Fall semester (June through December) 2006. Nominees must identify themselves by 3 May and elections will be held from 3 May to 12 May.

- Over $800 has been raised so far this semester through fundraising
Rebecca, faculty/student liaison and jobs coordinator:
- LTF-6 went well. The LSO volunteers introduced the guest speakers. It was a great networking opportunity and though it was focused on the academic world, many discussions were applicable to other areas. Agreed it is a great event to do next year.
- Unable to attend the faculty meeting but has requested the minutes. Received positive feedback from students on sending out the minutes.
Lynne, program coordinator:
- Survey will be done on Monday. Last few responses have stressed more communication between students.
- Several ideas were discussed to address this including a wiki, having different LSO officers online at certain times for students to use, and posting professional development reports on the LSO website for students to use.
- An “AskLSO” email address was proposed to allow LSO, SIRLS, and external people to contact LSO officers with questions.
Marie, webmaster/listserve manager:

- LSO site "numbers": we are getting more traffic than I expected, ranging anywhere from 15 to 80 hits per day for the last two weeks. (And I have filtered out MY IP address, so I am not skewing the numbers every time I go to look at changes I've made!) Not bad, I guess. And the hits are coming from literally all over the world--mostly in Tucson/Phoenix area, but lots from other parts of the US (including Alaska and Hawaii), and a significant number from other countries, especially southeast Asia. Interesting! Good news is that most people are using high speed internet, and the vast majority use Internet Explorer... all this information is great for planning any changes to the site (the high-speed and IE info means you can optimize changes for that browser and can have more than just tiny graphics, for example).
- And on that note, I hope to work out some kind of test or survey to find out what changes we should do with the site. The organization is getting kind of bulky, and I would like to re-work it before I leave in December, or at least get things well started for the next webmaster, if I don't have time. If anyone wants to volunteer to brainstorm with me on that, it would be great.
- The Symposium section of the site is up, as you know, and that will keep changing as more information comes in.

Fall Programs

- Jan Knight, Mary Graham (AHSL), and Ann Dutton Ewbank Ewbank (school libraries; can see her site at members.cox.net/adutton1) have agreed to be on the Jobs Panel (October). So the Tucson speakers are all set! Now I just have to figure out about pizza and podcasting the panels.
- Margaret Higgins has been e-mailed regarding a session on Presentations in November (before the Symposium)
- Sandy Kramer is unable to give her resume workshop on the week we had suggested (September 25th). Working on picking another date. She also mentioned that some of her colleagues that work on the hiring task force, 4 of them, are willing to do resume consultations with students.
- I got four presentations from the Area Studies Symposium and am working with Marie to get them on our LSO site. If anyone has a clever link title for the presentations (Professional Development just isn't catchy and only LSO officers would understand it) that would be helpful.
- ARLIS is having their Northwest Chapter meeting this year in Tucson Oct 12 - 14. ASML's Mary Graham (and crew) are heading that up. She hasn't figured out all the details but expects she might need some student volunteers and says they'll have student discounts. I'm thinking this is something SLA folks might want to take on...not sure.
